Job Position: GRANTS ASSISTANT
Job Location: Abuja

The objective of the Grants Assistant position is to collaborate with the Grants Manager in order to manage and coordinate MSH Nigeria’s complex grants portfolio lending to a variety of Non-governmental organizations, faith based organizations, and community based organizations in order to strengthen health systems and improve health service delivery throughout Nigeria. The Grants Assistant will work closely with Grants Manager to establish and follow a transparent process, and develop tools to implement the process, assuring that sound grant practices are applied at every stage of the grant process from guidelines to closeout. The Grants Assistant must be available to travel up to 50% of the time, including the Niger Delta Region.

Job Specific Responsibilities

• Assist Grants Manager in setting up and administering a grants management system MSH Nigeria
• Help to issue grants to NGOs, FBOs, and CBOs ensuring that all necessary guidelines and regulations are followed
• Help Grants Manager establish a grants application evaluation of grants recipients to guarantee best use of project funds
• As directed by the Grants Manager, manage grants at all phases and ensure compliance with donor and MSH regulations
• With the Grants Manager, monitor and support grant recipients financial and operations systems ensuring best practices are being implemented in the institutions or organizations
• Provide accounting support to the Country Operations
• Management Unit as directed by the Grants Manager
• Other tasks as requested by supervisor

Job Qualifications

• Bachelor’s Degree in accounting, finance, business management or related fields.
• At least 3 years of relevant working experience with an international non-governmental organization. Experience with PEPFAR and USAID funded projects is highly desirable
• Fluency in the English language is required
• Strong organizational and financial management skills
• Ability to work well in a collaborative manner, including robust communications capabilities
• Mastered the use of Microsoft Word, Excel, and QuickBooks. Past experience with grants management software preferred.

Job Description
1. Support the daily work of the CEO. Ensure that all documents are treated with utmost confidentiality and are channeled to the appropriate authority.
I. Manage the CEO’s calendar.
II. Screen phone calls (internal and external).
III. File, process and maintain Files.
IV. Manage CEO’s driver(s)/logistics.

2. Prepare and organize meetings (Internal and External).
I. Set- up meetings, liaise with attendees; ensure meetings scheduled kick-off on time with all required attendees in attendant.

3. Arrange/process all traveling and accommodation request on behalf of the CEO and visiting senior staff from the group.

4. Manage and arrange reimbursement of all expenses incurred by the CEO.

5. Attend-to and monitor urgent enquiries and customer complaints (either verbally or via letters) ensuring that they are brought to the respective authority’s attention for a response with a status feedback given to the concerned party.

6. Ensure all facilities assigned to the office are in working condition and when repair is required, the necessary party is informed.

7. Deliver on ad-hoc task assigned by the CEO in a timely manner, give updates when necessary and follow-up if required.

8. Continually develop and apply procedures to facilitate effective and efficient business systems within the CEO’s Office.

9. Provide Ad hoc administrative duties and support when required to management staff and businesses.

10. Send-out minutes of the monthly Mancom meeting to its members and also gather inputs from the various businesses for the monthly CEO’s report.

Qualifications & Skills

- B.Sc University degree (2:2 Minimum).
- Someone who will understand the general thrust of issues that are dealt with by the CEO.
- Someone who will understand the structure and function of different departments of the bank.
- Someone who is good at reasoning through issues and has sound common sense.
- Someone who has good skills in using Microsoft Office product suite (mainly Word, Excel, Powerpoint).
- Someone who is pro-active and doesn’t take input at face value.
- Someone who takes responsibility and can work independently.
- Someone who has good writing skills.
- Someone who can work on projects.
- Someone who likes doing a thorough job on all work.
- In compliance with the National Youth Service Corps (NYSC) Act of 2004, all applicants should ensure that they have completed the mandatory NYSC programme. A discharge certificate will be required as evidence of completion of the programme. Where an exemption has been granted, a certificate of exemption will also be required.

TICKETING & RECONFIRMATION ASSISTANT
(Lagos Office) (2 year renewable contract)

Duties
Successful candidate will:
• Visit airline offices in Lagos to obtain bookings, printout, reconfirmation and tickets as requested
• Lodge cheques for replenishment of deposit with the airlines and periodically obtain statement of accounts for reconciliation;
• Collect and reconfirm tickets for short term visitors in Lagos
• Assist in the Airport arrival/departure formalities during special events, conferences, training workshops and meetings; .
• Follow up on specific travel problems as requested
• Deputize for the Travel Assistant in his/her absence
• Perform any other relevant duties as may be assigned by Supervisor

Qualifications and Experience

• WASC plus Diploma/Certificate in Ticketing & Reservation.
• Minimum of Two (2) years relevant working experience in a reputable travel agency/organisation.
• Candidate must be willing to live in Lagos, trustworthy and a team player.
• Ability to drive and possession of valid Class ‘E’ Drivers’ licence is essential.
